Page 1 of 2 Minutes for Special Events Commission Meeting on August 13, 2025 The meeting was called to order at 7:07 p.m. by Commission Chair Brad Katz. Commissioners in attendance included Kelly Barash, Cari Boyle, Matt Fink, Steve Fromm, Colleen Gaughan, Michelle Harris, Tripp Turchik, Diane Jamieson, Brad Katz, Laurie Mitchell, Kevin Seifert, Keri Stanley. Also present: Staff Liaison Avis Meade Absent: Jennifer Eichorn A motion to approve minutes from May 14th was made by Brad Katz with a second from Tripp Turchik. OLD BUSINESS - Autumn Harvest Autumn Harvest is on Saturday, October 11th, 11 a.m. – 2 p.m. at North School Park. Assignments were assigned to commissioners and logistics were reviewed. Scarecrow competition logistics were determined. Participants will be encouraged to bring their own clothes and accessories, but we will also supply items. Accessories will be distributed as evenly as possible. Food, entertainment, and vendors including a balloon twister, petting zoo, and hayride have been arranged. Chairs & tables will be ordered. Bookmobile will be attending. Staff will put out a call for high schooler volunteers on social media. Public Works will be on site promoting Forestry and Oaktober. Fire will participate based on staffing. Police will have an increased presence. - Tree Lighting The 2025 Tree Lighting and Festive Events at Harmony Park will be on Thursday, Nov. 28th, 4:3- - 6:30 p.m. The commission requested more lights at Eastman & Evergreen for pedestrians because the area is very dark prior to the lighting of the park. A squad or lighting is requested at St. James & Evergreen. Vendors booked and arranged include the trolleys, the accessible van, live reindeer, ice carvers, stipends for singers. - Hearts of Gold 2026 o The event will take place at Rolling Green Country Club on Sunday, Feb. 22nd, 12 - 4 p.m. o Dessert options will be considered and pricing will be reflected in the contract o Timeline includes beginning to solicit for nominee submissions from Sept – Oct. The winners will be picked in November and by December we will begin announcing and advertising the sale of tickets. NEW BUSINESS: None OTHER The Commission confirmed with Cari Boyle from the Park District that North School Park was available to host Swing into Spring 2026 on May 9th.
