Agenda Sister Cities, Assembly Advisory Board Meeting January 16, 2017 5:00 Hospital Foundation Conference Room Committee Members: Maria Uchytil (Co-Chair) Sue Baxter (Co-Chair) Eli Olson (Secretary) Barbara Burnett (Member) Chloie Watson (Treasurer) Miranda McCarty (Member) With Rich Morris in attendance I. Call to order II. Agenda Changes III. Approval of the Minutes from Eli a. Approved with amendments i. part IV, part D removed and ii. part VIII part amended to Miranda IV. Hockey Tournament – February 23 a. Ice time i. We will try to sponsor the ice time for 1 hour on February 23th 2017 for the rainforest classic tournament between Juneau and Whitehorse at 8pm ii. Lauren Anderson is in discussions with the Prospector for sponsoring the tournament iii. Rich has met with a representative of the Carpenters Union who has expressed some interest in sponsoring the tournament and will meet with him in the next few days to hammer out the details  iv. Sue will attempt to contact the mayor’s office and see if they would be willing to have the mayor or deputy mayor come to the game and drop the first puck again v. Maria will oversee the PSA’s for the tournament and any radio time on Capital Chat or other networks 1. Rich has volunteered to be on the air and give the announcements for the game 2. Any sponsors to the game will be added to any segments of the advertisements, either o air or on any fliers b. Trophy i. We will sponsor the trophy this year and award it to the winning team c. Selling refreshments i. Under consideration by the committee, will depend on availability d. Banquet i. Sue Baxter has put forth a motion to sponsor a pizza party for the hockey players at the downtown Bullwinkle’s pizza parlor on February 23rd to be under $300.00 for both hockey teams 1. The vote was unanimous in favor of the expense 2. Only Marsha Squires who was not in attendance did not vote  3. Rich has consented to contact Bullwinkle’s and ask for a price for the pizza party and will coordinate efforts with the treasurer Chloie Watson a. As this is a city event, we will only pay for the pizza, no alcohol purchases. V. Exchange Students (AFS) Tour of UAS – January 19, 2017 a. Contacting Valley Rotary Students i. The exchange students visited Juneau this week ii. However, the valley rotary students did not attend, so Marsha has sent in a request for their information to contact them, Miranda has agreed to contact both Marsha and Sue with the contact information VI. Report to the Assembly – February 13, 2017 a. Written report – due Feb. 8 i. This report is to include the following 1. The money that was fund raised for Kalibo and to be used for the innovation summit 2. Our gift registry for all our sister cities 3. Holiday letter 4. RCMPs visit 5. Exchange student’s events 6. Rainforest classic hockey tournament 7. Google docs  8. Mirandas newsletter b. Presentation i. Will be created by Sue Baxter and she has agreed to present to the City Assembly c. Attendance i. Any committee members that are free VII. Airport display case a. Will postpone discussion until April meeting VIII. Newsletter a. Created by Miranda with most of the information about our committee members and our recent events b. Miranda will email out the newsletter to all committee members and we will add any relevant information and email it back, i. Miranda will update the newsletter with all the revisions and new information IX. Innovation Summit a. Whitehorse i. Sue will check with Dina from Whitehorse b. Kalibo i. No response yet from Whitehorse, but the email from Sue with the invitation was sent out on 1/13/2017 X. Canada Day  a. Is on 7/1/2017 and is Canadas 150th anniversary, we as a committee would like to encourage JPD to go up to Whitehorse to celebrate that event with them and ask any available committee members to attend as well b. Civics dinner i. We will send our regrets as a committee, however none of our members are available for the event on 2/22/2017 where we were invited by Whitehorse Mayor Dan Curtis and the City council to Whitehorse to attend a festival. 1. However, we will forward the invitation to the CBJ Mayors office to see if any of them are interested in attending XI. Adjourn a. The next committee event will be for the assembly report on February 13th 2017 at City Hall. b. The next committee meeting will be on March 6th 2017 at the Bartlett Foundation Conference Room
