Village Hall Village of Lombard 255 East Wilson Ave. Lombard, IL 60148 villageoflombard.org Minutes Community Relations Committee Trustee Robyn Pike - Chairperson Trustee Bill Ware - Alternate Chairperson, Pamela Bedard, Ahmed Ali, Michael Ledonne, Sharon Vish, Barb Ware, Gladys Piper, Anthony Pacilli and Jenelle Hardtke Staff Liaison - Avis Meade Monday, February 12, 2018 7:00 PM Manager's Conference Room 1.0 Call to Order and Pledge of Allegiance The meeting was called to order by Alternate Chairperson Bill Ware at 7 p.m. The Pledge of Allegiance was led by Pam Bedard. 2.0 Roll Call Present 6 - Bill Ware, Pamela Bedard, Ahmed Ali, Barbara Ware, Gladys Piper, and Michael Ledonne Absent 4 - Robyn Pike, Jenelle Hardtke, Sharon Vish, and Anthony Pacilli Also present: Communications Coordinator and Staff Liaison Avis Meade, Assistant Village Manager, Nicole Aranas, Director of Finance Tim Sexton. 3.0 Public Participation None. 4.0 Approval of Minutes A motion to approve the minutes of Jan. 8, 2018, meeting was made by Michael Ledonne, seconded by Gladys Piper. The motion passed by unanimous vote. Village of Lombard Page 1 Community Relations Committee Minutes February 12, 2018 5.0 Old Business 180022 2018 Youth Leadership Program Update of the Youth Leadership Program. The Youth Leadership Program was successfully held this year on February 1st & 8th, with the third and final night taking place on February 15, 2018, at the Village Board Meeting. Students will be recognized at Village Hall at 6:30 p.m. and will take a tour of Village offices before the Village Board Meeting at 7 p.m. This year’s group of students included at least one student from College Preparatory School of America, Glenbard East, Glenbard West, Islamic Foundation School and Montini Catholic. 6.0 New Business 180049 2019 Budget Discussion Assistant Village Manager Nicole Aranas presented about the 2019 budget planning process and reviewed the long term structural budget deficit that the Village faces. 180088 Meals on Wheels Program Discussion concerning the annual funding for the Meals on Wheels program, through the DuPage Sr. Citizen's Council, currently supported by the Village of Lombard. Assistant Village Manager Nicole Aranas presented information regarding Meals on Wheels and reviewed Lombard’s history of contribution to the program. The Community Relations Committee recommended maintaining current funding of $25,000 per year to the program. Trustee Ware asked for a motion to vote. The recommendation of the Community Relations Committee to maintain funding of $25,000 per year to Meals on Wheels will be presented to the Finance and Administration Committee for consideration when determining the budget. A motion was made by Michael Ledonne, seconded by Barb Ware, to continue funding the Meals on Wheels at the current amount of $25,000 per year. The Village of Lombard Page 2 Community Relations Committee Minutes February 12, 2018 motion passed by unanimous vote. 180089 Village of Lombard Senior Fair Discussion of charging a vendor fee, beginning with Senior Fair 2019. The committee has been asked to consider vendor fee options for Senior Fair vendors at the Village’s annual Senior Fair event. Communications Coordinator Avis Meade presented three examples of senior fair vendor fee structures used by similar fairs. The Committee requested more examples and did not make a recommendation. Staff will present further examples at the next committee meeting on March 12, 2018. 180090 Pride Newsletter Printing Discussion of the future of printing and mailing of the Pride Newsletter. Communications Coordinator Avis Meade presented alternative Pride printing options to the committee including options for decreasing the frequency of the newsletter from quarterly to either bi or tri-annual editions, and decreasing the size of the newsletter from 12 to 8 pages. The committee requested more information pertaining to paper weight and color options be presented at their next meeting. No recommendation was made and staff will present additional options at the March 12, 2018, meeting 7.0 Other Business None. 8.0 Information Only None. 9.0 Adjournment A motion to adjourn was made by Michael Ledonne at 8:11 p.m. and seconded by Ahmed Ali.
