Village Hall Village of Lombard 255 East Wilson Ave. Lombard, IL 60148 villageoflombard.org Minutes Community Relations Committee Trustee Dan Militello - Chairperson Trustee Bill Ware - Alternate Chairperson, Pamela Bedard, Ahmed Ali, Michael Ledonne, Sharon Vish, Barb Ware, Gladys Piper and Anthony Pacilli Staff Liaison - Avis Meade Monday, June 10, 2019 7:00 PM Trustees Conference Room 1.0 Call to Order and Pledge of Allegiance The meeting was called to order by Chairperson Dan Militello at 7:01 p.m. The Pledge of Allegiance was led by Michael Ledonne. 2.0 Roll Call Present 7 - Dan Militello, Pamela Bedard, Sharon Vish, Ahmed Ali, Gladys Piper, Michael Ledonne, and Anthony Pacilli Absent 1 - Barbara Ware Also present: Avis Meade, Staff Liaison 3.0 Public Participation None. 4.0 Approval of Minutes A motion was made by Pam Bedard, seconded by Michael Ledonne, to approve the minutes of the March 11, 2019, committee meeting. The motion was approved by unanimous vote. 5.0 Old Business 190129 Senior Fair 2019 The committee will review the 2018 Senior Fair to discuss the success of the event and to recommend any potential changes for the 2019 event. Village of Lombard Page 1 Community Relations Committee Minutes June 10, 2019 The committee reviewed the 2018 Senior Fair to discuss the event. The committee directed staff to work with the park district to inquire about additional, temporary handicapped parking spaces for the seniors attending the event at Madison Meadow Athletic Center. 190130 Lilac Time Photo Contest 2019 Review submissions to the Lilac Time Photo Contest. Select a 1st, 2nd and 3rd place winner and honorary mentions. The committee reviewed submissions to the 2019 Lilac Time Photo Contest and selected the three wining photos: First Place - “Welcome to Lilacia” Tom Morris, Second Place - “Home Sweet Lombard” by Andrea Waas, Third Place - “Looking Back Through the Lilacs” by Katie Kooima. Honorary mentions: Greg Kozlick, Della Kelly, Chris Runge and Daniela Hendricks. 6.0 New Business 190237 Committee Appointments Renewing appointments for Committee Members who can commit to attending Community Relations Committee meetings. Committee members were asked if they would like to commit to renewing their appointments to the Community Relations Committee. If a member would not like to renew their appointment, they have been directed to contact staff or Chairperson Dan Militello directly. Additionally, members were reminded that the committee attendance policy states that more than three committee meeting absences in one calendar year equates to resignation. 190238 New Village Website Staff will review the website launch process and give an updated status. The committee reviewed the Village’s new website that was launched on May 31, 2019. Staff will provide statistics for the Village’s new website at future meeting dates. 190239 Room Use Policy The Committee will review options for a new policy regarding the use of the Community Room at Village Hall, by public officials. The committee reviewed a current Village Meeting Room Policy. The committee directed staff to update the policy to include specific guidelines that address concerns related to: - Restricting the usage of the rooms to government entity or group Village of Lombard Page 2 Community Relations Committee Minutes June 10, 2019 of which the Village has direct affiliation or paid membership dues. - Allow seated elected officials that represent Lombard residents to request meeting room use for town hall meetings, but for 90 days prior to an election cycle. - Prioritize Village government and business above other requests. - Deny any political requests. 190240 National Citizen Survey 2020 The committee will review the process for the next National Citizen Survey, which is scheduled for late 2019/early 2020. Staff reviewed the committee’s responsibility in the upcoming 2020 National Citizen Survey and the process that is scheduled to begin by late 2019. 7.0 Other Business None. 8.0 Information Only Committee Member Michael Ledonne wished to go on public record in thanking Trustee Robyn Pike for her service as Trustee and Chairperson of the Community Relations Committee. Michael Ledonne also welcomed Trustee Dan Militello as the committee’s new Chairperson. All present committee members supported these statements. 9.0 Adjournment A motion was made by Ahmed Ali, seconded by Sharon Vish, to adjourn the meeting at 7:35 p.m. The motion passed unanimously.
