Village Hall Village of Lombard 255 East Wilson Ave. Lombard, IL 60148 villageoflombard.org Minutes Community Relations Committee Trustee Jessica Hammersmith - Chairperson Trustee Dan Militello - Alternate Chairperson, Pamela Bedard, Michael Ledonne, Sharon Vish, Gladys Piper, Kaveria Lezza, Megan McVane, Madison Smith, Tereasa Banks and Lindsey Khan Staff Liaison: Stephanie Calvillo Monday, October 13, 2025 6:00 PM Village Hall North Landing 1.0 Call to Order and Pledge of Allegiance The meeting was called to order by Chairperson Jessie Hammersmith at 6:01 p.m. The Pledge of Allegiance was led by Michael Ledonne. 2.0 Roll Call Also present: Stephanie Calvillo, Communications Coordinator. Chairperson Hammersmith welcomed two new committee members, Lindsey Khan and Madison Smith, who introduced themselves to the group. Committee members also shared brief introductions to help familiarize everyone and encourage collaboration. Present 6 - Jessica Hammersmith, Pamela Bedard, Gladys Piper, Michael Ledonne, Madison Smith, and Lindsey Khan Absent 4 - Kaveria Lezza, Sharon Vish, Megan McVane, and Tereasa Banks 3.0 Public Participation 4.0 Approval of Minutes A motion was made by Michael Ledonne, seconded by Gladys Piper, to approve the minutes of the September 8, 2025, committee meeting. The motion passed by unanimous vote. 5.0 Old Business Village of Lombard Page 1 Community Relations Committee Minutes October 13, 2025 250209 Senior Fair - Post-Event Update and Review Staff will present a summary of the recent Senior Fair, including attendance figures, vendor feedback, marketing efforts, and service metrics. The committee will review outcomes and discuss recommendations for future improvements to the event. Staff provided a post-event summary of the 2025 Senior Fair, which featured more than 70 vendors, a waitlist of 19, and approximately 450 attendees. Highlights included health screenings, vaccinations, and DMV services. The committee discussed possible improvements, including holding the Senior of the Year recognition at a Village Board meeting in future years and exploring ideas to mark the event’s 20th anniversary in 2026. 6.0 New Business 250357 Meeting Recording and Broadcasting Options Staff will lead a discussion on potential changes to the recording and/or broadcasting of Village Board and Plan Commission meetings. Due to recent staffing changes and based on research into practices used by other communities, the Village is exploring alternative approaches and service options to support continued public access to meetings. Staff provided an update on current meeting recording operations, noting reduced availability among broadcast support staff. To maintain consistent coverage and public access, the Village is conducting a trial period with an external vendor through the end of the year. If the trial is successful, a contract proposal will be presented to the Community Relations Committee for review and recommendation. 250358 Website Accessibility Requirements Overview Staff will provide an overview of new website accessibility laws and standards and discuss their potential impacts on the Village's website. The presentation will include recommended steps to achieve compliance and ensure continued accessibility for all residents. Staff provided a brief overview of new federal website accessibility requirements under the ADA Title II final rule. Municipalities under 50,000 residents, including the Village of Lombard, must comply by April 26, 2027. Staff noted upcoming steps toward compliance, including coordination with our website provider CivicPlus, a potential website audit, and staff training. Village of Lombard Page 2 Community Relations Committee Minutes October 13, 2025 7.0 Other Business Community Partnership Program Concept Chairperson Hammersmith shared information regarding a proposal submitted by a committee applicant outlining a potential partnership with local high schools. The proposed program would connect students with community elders for regular check-ins, assistance with small tasks, and companionship as part of student service hours. The initiative aims to reduce isolation among older adults, strengthen intergenerational connections, and encourage youth volunteerism. Chairperson Hammersmith indicated she would like to see this concept brought forward through the committee for future discussion. Community E-Mobility Event Concept Member Smith shared an idea for a potential Village-sponsored “ride-out” event in response to the growing use of e-scooters and e-bikes in the community. The concept would establish a designated route to provide a safe and supervised opportunity for youth and residents to participate. The event would be designed to promote safety awareness, responsible use, and positive community engagement around these modes of transportation. 8.0 Information Only Veterans Day Ceremony Staff shared information and flyers for the upcoming Veterans Day Ceremony, scheduled for Tuesday, November 11 at 11 a.m. at Lombard Common Park. Committee members are invited to attend. Staff noted a planning meeting with the VFW and American Legion will take place later this week. The ceremony continues to be a strong community collaboration involving the VFW and Auxiliary, the American Legion, Glenbard East High School singers and buglers, and the Lombard Junior Women’s Club. 9.0 Adjournment A motion to adjourn was made by Michael Ledonne, seconded by Gladys Village of Lombard Page 3 Community Relations Committee Minutes October 13, 2025 Piper, at 7:02 p.m. The motion to adjourn passed unanimously.
