Victorine MINUTES: HUMAN SERVICES COMMITTEE- SPECIAL MEETING Tuesday, September 8, 2015- 1:00 p.m. Niles Village Hall, Room 218 1000 Civic Center Drive Meeting began at 1:02 pm Present: Bill Shaw, Steve Cusick, John Jekot, Linda Mathis, Carl Maniscalco, Kelly Mickle, Louella Preston Absent: Tony Hollenback, Jamie Blickhahn, Halley Jacobs, Bernie Knapick, Cathy Fay Bill Shaw addressed the Human Services committee. There is a board agenda item for the Sept. 22 board meeting to approve the purchase of MaxGalaxy for the Teen Center/ Fitness Center and Senior Center. Bill has requested this meeting to get official approval of Human Services committee to bring the item to the Board of Trustees. Active Network (CLASS) has been used at the Fitness and Senior Center. Due to changes in the software, it is no longer supported and would be too expensive to upgrade. Teen Center is using custom software that is becoming outdated as well. Over a year ago, IT and Senior attended an IT symposium. About a year ago, a committee was formed to research products including directors and staff from 3 departments which developed a requirements list for a software solution. It seems that RecTrac and MaxGalaxy were the only 2 solutions that could meet our needs. With a site visit to Dekalb, IL the research team recommended MaxGalaxy. IT conducted lots of negotiating with MaxGalaxy to get the best and most applicable software pieces for the lowest cost. The committee is looking to move to MaxGalaxy in January 2016. Equipment needs to be purchased and installed. Bill reviewed the packet of materials that will be presented to the board including itemized bill and modules. Committee voted 4-0 (1 absent) to recommend approval for VON board of trustees for purchase of MaxGalaxy Public Comments Ms. Preston asked about the life expectancy of the product. Bill believes 10-12 years but it is market driven and we would continue to be supported even after new product introduced. Family Services will be looking for a separate software product to meet their needs.
