CITY OF WHEATON COMMUNITY RELATIONS COMMISSION Special Meeting Minutes – Thursday, May 31, 2018 I. Call to Order: by Gail Forrest at 7:35pm II. Roll Call: Commission Members Present Commission Members Absent Gail Forrest Erik Miller Leslie Day Vickie Miller Tony Asta Shayne Moore Erica Nelson Julie Kulovits Colleen Atwell This meeting was conducted for the purposes of confirming detail and plans going forward for the upcoming Festival of Cultures. Tony Asta confirmed that the venue will be at Memorial Park on Sunday September 16th from 1-5pm. He also confirmed that the activities area of Gary Methodist Church has been reserved for the alternative inclement weather location. Tony did extensive research on other similar area events and provided brochures and collaterals on those activities (ie the Skokie and Evanston events.) Their initiatives provided great ideas for our event. He also provided a detailed demographic overview of Wheaton. Tony debriefed with Dan Loftus and also talked with several performance groups and Arts Dupage about participating. The group confirmed that the following will be key focus areas for our event: - Cultural booths/exhibits - Ethnic Food Vendors - Performances (Tony to book Chicago Folklore Ensemble and others) - Display of Flags - Childrens’ Activities Primary action items pending: (See project plan for more detail) . Come up with a master list of invitees to offer several for each of the above categories. . Create a master invitation letter with details including booth size, any licensing requirements (food) . Divide up list between team to do personal recruiting, followup with letter. . Leslie to recommend a package for sponsors. . Erica will update the project plan and this will be discussed at next regular meeting. The meeting was adjourned at 844 pm.
