CITY OF WHEATON COMMUNITY RELATIONS COMMISSION Festival of Cultures Subcommittee Meeting Minutes – Thursday, July 19, 2018 I. Call to Order: by Tony Asta at 6:33 pm, Erica Nelson seconded II. Roll Call: Commission Members Present Tony Asta Leslie Day Erica Nelson Julie Kulovits III. Citizens to be heard: None IV. Approval of Agenda: Tony Asta moved and Erica Nelson seconded to approve the agenda V. Meeting Objective/Goals: The purpose of the meeting was to discuss Festival of Cultures planning VI. Meeting Synopsis: Review of updates to Program Planning Form: Agreed Continuing Business: Leslie reviewed the sponsorship letter and the work Colleen did with her to develop the sponsorship plan. Leslie is reaching out to the sponsors from Make A Difference Day to seek their support. There was significant support that we believe we can tap into. Julie reported that she has not heard back from any of the food truck vendors. We all shared concerns that vendors will be deciding the possible value of a four hour event in terms of sales and Julie needs to have an incentive for them to commit. After much discussion we agreed that Julie would contact the vendors and let them know that the $150.00 fee will be returned to them at the event. In this way we can get a commitment to participate. There are 13 organizations committed to taking a booth/table. Two stage/dance performances committed, and Exodus World Service has community members who will share their refugee story throughout the afternoon between performances. Tony is working on one more performance and Erica is reaching out to World Relief for contacts as well. Committee members will continue outreach to confirm additional booth/table partners and Julie will update the committee on her outreach to the food truck vendors at the next meeting. VII. Adjournment: Erica Nelson had to leave the meeting at 7:10pm. Tony adjourned meeting at 7:25pm with Leslie Day seconding
