CITY OF WHEATON COMMUNITY RELATIONS COMMISSION FESTIVAL SUBCOMMITTEE MEETING MINUTES – WEDNESDAY, AUGUST 8, 2018 Call to Order by WCRC Chair Gail Forrest at 7:37 pm. Since a quorum was not present, the meeting was informational only for purposes of organizational planning, with no key decisions being made. Commissioners Present: Commissioners Absent: Tony Asta Shayne Moore Colleen Atwell Gail Forrest Erica Nelson Julie Kulovits Leslie Day Erik Miller Alex Mayster Vickie Miller Larniecia Smith Citizens to be heard: NONE I. Continuing Business:  Updates on event attendees/publicity: Larniecia Smith and Gail Forrest attended the Warrenville National Night Out and handed out about 200 flyers promoting the event. Great response!  Updates on participants: There is an Asian Day in Naperville same day so that may impact getting additional attendees (currently 18). We have three food trucks confirmed. The drop dead date for active recruiting for booth participants is August 17th. o ACTION: Nicholas Garza is following up on UNICEF. o ACTION: Leslie Day to see if International Justice Mission is interested in participating with a cultural slant. o ACTION: Tony Asta to invite Science and Spirituality Center and Liberian organization to participate. o ACTION: Erica Nelson to finalize Islamic participation and ask them to do same activities as last year (henna hands, math exercise)  Updates on sponsorships: Leslie Day has made great progress on contacting sponsors. She has invited one to be the primary sponsor and others to participate in a supporting role. Results are pending but so far have talked to: First Trust Portfolio, Showalter, Wheaton Chamber of Commerce and the Downtown Wheaton Association, all of whom have participated in prior years. We are also talking to other local companies such as Bauer dental, realtors, and restaurants.  CITY OF WHEATON COMMUNITY RELATIONS COMMISSION FESTIVAL SUBCOMMITTEE MEETING MINUTES WEDNESDAY, AUGUST 8, 2018 (continued)  Updates on sponsorships (continued): o ACTION: Leslie Day to update google docs with sponsorship letter with new Festival logo for team use.  Additional actions: o ACTION: Tony Asta to followup with Shayne Moore and Alex Mayster to ensure they are able to participate in subcommittee meetings, given criticality of promotional phase. o ACTION: Gail Forrest to get items from Good Citizens/etc. returned to Public Works storage. II. Adjournment: The meeting was adjourned by consensus at 8:14 pm. III. THE NEXT WCRC FESTIVAL SUBCOMMITTEE MEETING IS TUESDAY, AUGUST 14th at 7:30 pm at City Hall.
